Position Summary
The Center is in the business of taking care of people. We are seeking a dedicated, detail-oriented, and compassionate individual to join our team as a Meals on Wheels Volunteer & Logistics Coordinator. This role ensures the smooth daily operation of our Meals on Wheels program by managing volunteer recruitment, training, and scheduling, while also overseeing the meal logistics that get the right meals to the right people—on time, every time.
This position requires strong organizational skills, excellent customer service, attention to detail, and a genuine commitment to serving older adults in Kendall County.
Key Responsibilities
Volunteer Coordination

  • Recruitment: Actively recruit and attract volunteers through community outreach, social media, and partnerships with local organizations.
  • Training: Develop and deliver training on program guidelines, food safety, confidentiality, and customer service.
  • Scheduling: Assign volunteers to routes and kitchen shifts, maintaining accurate records of availability and contact information.
  • Communication: Maintain open, timely, and positive communication with all volunteers, providing updates, answering questions, and offering support.
  • Recognition & Retention: Conduct periodic evaluations and recognition efforts to maintain a strong, committed volunteer base.
Logistics & Kitchen Operations
  • Print and review daily route sheets, calculating the exact number of meals and meal elements (milk, bread, dessert) for each client, including special dietary needs.
  • Coordinate with kitchen staff to ensure special requests and frozen meals are prepared and clearly labeled.
  • Supervise kitchen volunteers in meal preparation and packaging, ensuring compliance with food safety standards.
  • Organize and oversee the distribution of meals by route to ensure accuracy and timeliness.
  • Make same-day adjustments for client cancellations or changes, updating route sheets and removing/reassigning meals as needed.
  • Maintain a clean, organized, and safe kitchen work environment.
Community & Program Support
  • Represent The Center and Meals on Wheels at community events to promote awareness and recruit volunteers.
  • Collaborate with local organizations and businesses for partnerships and fundraising opportunities.
  • Assist in gathering feedback from clients, volunteers, and stakeholders to improve program quality.
  • Complete administrative tasks such as maintaining volunteer databases, preparing reports, and updating program documentation.
Qualifications
  • High school diploma or equivalent (some college preferred).
  • Previous experience in volunteer management, customer service, or food service strongly preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Excellent interpersonal and communication skills.
  • Compassion, patience, and respect for older adults and volunteers.
  • Proficiency with technology for scheduling, record-keeping, and communication.
  • Valid driver’s license and reliable transportation.
