Position Overview:
We are seeking a highly detail-oriented and adaptable Operations Assistant to report directly to the Chief Operating Officer. This is a fully in-office role, ideal for someone who thrives in a structured, client-focused environment and is committed to precision and follow-through.
Schedule:

  • Monday–Friday, 8:00 AM – 5:00 PM (In-office, mandatory)
Key Responsibilities:
  • Support day-to-day firm operations and administrative needs, prioritizing tasks to meet internal deadlines
  • Open and service client accounts, including new account paperwork, maintenance requests, and client data updates
  • Deliver professional client support by phone and in person, escalating issues appropriately and following through to resolution
  • Maintain complete, well-organized client and operations records to support compliance and audit readiness
  • Support operational workflows (e.g., transfers, money movement, and service requests) and identify opportunities to improve efficiency
  • Partner with the COO and team members to coordinate priorities, share status updates and maintain efficiency
  • Execute tasks with a high standard of accuracy, meeting deadlines and proactively flagging risks or missing information
Qualifications:
  • Bachelor’s degree (required)
  • Minimum of 5 years of experience with a financial advisory firm
  • Licensing preferred but not required (SIE or operations licensing may be required; paid training provided)
  • Charles Schwab platform experience strongly preferred (custody, service requests, and account maintenance workflows)
  • Communicate clearly and professionally with clients and internal partners via phone, email, and in person
  • Adapt quickly to shifting priorities and incorporate feedback and direction with minimal rework
  • Produce consistently accurate work, double-checking entries and documentation before submission
  • Manage multiple requests at once, track open items, and meet deadlines without sacrificing quality

Compensation & Benefits:
  • Competitive salary based on experience and performance ($45,000-$80,000)
