Magdalena House is a neighborhood of transitional homes in San Antonio that serves mothers and their children who have fled dangerous and abusive lives by providing transformation through education, nurturing community, and programming. We provide a free, safe, transitional home and loving community for those affected by family violence and human trafficking, mothers who have aged out of foster care, and those working with CPS, as well as mothers facing homelessness. Families’ needs are addressed and met, including unique programming designed to foster self-awareness. Vocational assistance in the form of education, training, and job readiness is a key ingredient, as mothers are required to attend school by taking college, high school, or GED classes. Through these and other enrichment courses and events, mothers living at Magdalena House develop social, educational, and financial skills needed to ensure the physical, economic, and spiritual well-being of themselves and their children. Our vision is to grow our unique, five-acre property into a neighborhood with five or more homes and a multi-purpose building for all families to gather.

We are seeking an organized, experienced and self-motivated individual for the position of Financial Administrator in a non-profit setting. Under the direction of the Executive Director, this position is responsible for performing a variety of bookkeeping and accounting duties including financial record keeping and transactions including A/P, A/R, monthly billing and General Ledger, as well as support to our Development staff related to reconciliation and financial reports for grants.

Desired individual will have advanced experience with QuickBooks working in the nonprofit setting, an outgoing and friendly personality, demonstrated professionalism and tact in communications with diverse individuals, strong organizational and time management skills, acute attention to detail, and ability to work well with the entire Magdalena House Team and Directors.

Duties and Responsibilities:
• Manage all aspects of day-to-day bookkeeping and accounting processes including but not limited to: A/P, A/R, payroll, journal entries, and bank reconciliation. Enter the appropriate level of clarity in memos.
• Prepare Journal Entries for prepaid expense, deferred revenue and payroll cash accounts
• Process and pay all invoices and reimbursements in a timely manner.
• Enter and prepare checks for deposit for all organizational revenue.
• Enter all online and/or web-based donations by donor name.
• Timely management and journal entry of funds from restricted grants/donations to ensure financial accuracy and integrity of fund disbursement.
• Prepare monthly and quarterly financial reports for the Executive Director for board meetings including standard financial reports, budget vs. actual, previous year comparison, and balance sheet.
• Prepare reports as needed to support the Grant Director or others related to grant management and/or applications.
• Work closely with the Grant Director to ensure all payroll, coding, and percentages are accurate based on the awarded grants.
• Assist the Executive Director and the Grant Director with audit-related inquiries and reports as needed.
• Provide monthly financial reports for staff who are responsible for those budgetary areas.
• Coordinate with outside CPA and Auditors as needed in preparation of year-end audit.
• Maintain accounting procedures and policies and systems of internal controls to ensure the integrity of all financial systems, including adhering to the Magdalena House Accounting Policies and Procedures.
• Perform non-routine tasks requiring strong judgement and initiative.
• Assist Director of Grants with varied accounting/administrative tasks.
• Other Duties As Assigned.

Qualifications:
• Advanced proficiency in QuickBooks is essential.
• Nonprofit experience is preferable.
• Associate degree in related field and/or equivalent 3-5 years related experience or combination of education and experience.
• Additional proficiencies in Excel and database management (Donor Perfect a bonus).
• Excellent verbal and written communication skills.
• Strong organizational, problem-solving and analytical skills: ability to manage priorities and workflow.
• Ability to deal effectively with diverse individuals at all organizational levels.
• Understanding of and commitment to Magdalena House’s mission.
• Ability to respond to occasional last-minute financial corrections/needs for grants and Board of Directors
• Ability to respect a smoke-free environment.
• Ability to lift 35 pounds.
• Ability to operate office equipment.
• The ability to maintain the privacy and confidentiality of our staff, donors and residents.

As a small organization operating in a very dynamic environment, a significant amount of flexibility and teamwork is required. Employees are expected to work collaboratively to ensure Magdalena House’s success.

Please note part-time hours are flexible and accommodate an employee’s schedule as much as possible and will be determined between the employee and the Executive Director prior to being hired.

The salary range for this position averages about $20/hour.
