What is an Administrative Assistant/Receptionist?
The Administrative Assistant/Receptionist will contribute to the success of the Accounting and Human Resources departments through clerical support.
 
What We’re Looking For
The ideal candidate will have at least 6 months of clerical/order entry and prior receptionist experience.
 
Duties and Responsibilities
1. Operate multi-line telephone system and route calls to the appropriate person, location, voice mail or page employees when appropriate.
2. Greet visitors and escort to the proper office.
3. Create file folders for all shop work orders. Make copies for production meetings and Engineering.
 4. Sort, file and maintain personnel records and accounting filing.
5. Shred unnecessary confidential paperwork for the department.
6. Post and maintain up to date information on bulletin boards as directed.
7. Assemble and maintain new-hire orientation packets.
8. Fax temporary employee time sheets agencies.
9. Talk with delinquent customers to determine payment schedule for outstanding balances.
10. Sort and separate mail. Post mail and answer questions regarding special situations.
11. Enter orders in Mapics upon request.
12. Maintain customer contact list. Order and ship customer brochure and/or gifts.
13. Coordinate rental equipment as needed.
14. Coordinate necessary training as determined by supervisors.
15. Create travel arrangements as needed.
16. Act as point of contact and assist with third party vendors/contractors. Assist with vendor contracts.
17. Maintain sales binder as needed.
18. Order and maintain office equipment and supplies.
19. Run business errands.
20. General basic cleaning on occasion.
21. Maintain electronic vacation schedules.
22. Maintain asset titles.
23. Coordinate maintenance on trucks and trailers.
24. Responsible for professional appearance and communication skills. Business casual dress. 
25. Assist Manufacturing Manager upon request.
26. Interact and communicate with all levels of employees within the Company, as well as suppliers, customers and peers effectively.
27. Comply with policies, procedures, standards and rules of the Company.
28. Maintain work area in a clean, orderly and safe manner.
29. Punctual, regular and consistent attendance.
30. Perform all other job-related duties as assigned.
 
Required Experience and Education
• High school diploma or equivalent. Able to read, write, and follow verbal instructions in Standard English. Bi-lingual (Spanish) preferred. • Six months clerical experience with use of a multi-line phone system minimum. • Six months order entry experience minimum. High accuracy levels even with constant interruptions. • Proficient in MS Office products • Ability to use office equipment, such as multi-line phone system, computer, copier, calculator, fax etc. • Ability to handle routine projects and tasks under close supervision. • Ability to courteously deal with customers, employees, job applicants, vendors and the general public. • Ability to multi-task, prioritize and maintain a high level of confidentiality. • Successful passing of a routine motor vehicle and credit report.
 
Physical and Technical Environment
• Minimal lifting up to 25 pounds occasionally. • Must be able to sit, stand, walk, reach with hands and arms, bend and stoop in a normal office environment. • Normal vision and manual dexterity for office duties. • Normal office environment, on-going strict deadlines and changing project assignments.
