POSITION TITLE: Administrative Assistant
POSITION TYPE: Full Time (40 hours weekly, 9 am - 5 pm)
REPORTS TO: President/CEO of Chamber
JOB LOCATION: Boerne Chamber Commerce, 121 South Main St., Boerne, TX 78006


JOB OBJECTIVE: The Administrative Assistant’s primary role is to support Chamber staff and members by performing a variety of tasks, including answering and directing phone calls, maintaining files, preparing letters and other documents, scheduling appointments, and contributing to the daily operations of the office. Additional responsibilities may be assigned as needed to provide comprehensive support to the Chamber’s membership and overall objectives.

JOB DESCRIPTION:

  • Answer general and specific questions regarding the Chamber, staff, board of directors, events, members, and community information
  • Assist in preparing the organization for Chamber events, meetings, and activities
  • Prepare printed sales and marketing materials
  • Pick up mail and disseminate it to the proper staff member
  • Inventory and order all stationery, envelopes, etc. for the Chamber
  • Attention to facilities for desired standards of appearance, safety, and adequacy of the Chamber office
  • Assist in maintaining and updating the membership database with accurate information
  • Track and follow up on outstanding balances and member payments
  • Assist with accounts receivable and payable tasks
  • Assist in the onboarding of new members, ensuring they receive all necessary information and resources
KNOWLEDGE, SKILLS, ABILITIES, EDUCATION:
  • Requires a minimum of a High School Diploma
  • Excellent customer service skills and phone etiquette
  • A minimum of 1 year customer service, sales or related experience
  • Proficient in Microsoft office
  • Proven skills in both written and oral communication skills
  • Demonstrable interpersonal and organizational skills including flexibility, the ability to take direction, work independently, and the ability to multi-task
  • The ability to participate in some after-hours and occasional weekend functions
  • Experience with CRM software preferred
